Attending a Virtual Meeting

You can attend Council meetings and have your say in the Public Input and Question Period portion of the agenda by joining the meeting virtually.

We encourage you to join by Computer Desktop or Mobile Device (smartphone or tablet) so that you can view the meeting, but you may also join by Telephone to hear the meeting.  You will have an opportunity to participate by voice in either case.

For best results, test your system well in advance of the meeting by following the instructions below.  Only audio (microphone and speakers or headset) will be needed to participate.

Connect with Computer Desktop

Test your computer's capabilities 

  1. Test whether your computer is capable of participating, including whether you can hear and be heard, by starting a test meeting at: https://www.webex.com/test-meeting
  2. When testing, if you do not already have Webex Meetings installed, you can click on the 'Download it now' link at the bottom of the test page. This will download the app, and prompt you to install.
  3. If you prefer to join through the web browser only, you can click on the 'Join from your browser' link. Please use a modern web browser such as Google Chrome, Microsoft Edge, Firefox or, on Apple computers, Safari and follow the prompts to allow Webex to access your microphone and video.

15 minutes before the meeting

  1. Click on the Attendee Link under the Upcoming Meeting Information section at the top of this page to open the Cisco Webex Event webpage
  2. Enter your First name, Last name, and Email address in the spaces provided
  3. Click on the Join Now button
  4. If prompted, install any plugins or extensions
  5. You will be automatically muted upon entry into the meeting
  6. If you wish to speak during Public Input or Question Period, you can raise your hand (see instructions below)
    1. You will not have the option of unmuting yourself by clicking the Mute icon, or right clicking on your name
    2. To lower your hand, please click the Raise Hand button again (you may be asked by the meeting coordinator after speaking)
  7. When it is your turn to speak, you will be announced by the meeting coordinator

Connect with Mobile Device (smartphone/tablet)

Install and Test Cisco Webex Meetings on your Mobile Device

  1. Download the Cisco Webex Meetings mobile app from your app store (ie. Apple iTunes or Google Play)
  2. Test whether you will be able to hear and be heard by starting a test meeting at: https://www.webex.com/test-meeting

15 minutes before the meeting

  1. Click on the Attendee Link under the Upcoming Meeting Information section at the top of this page to join the Cisco Webex Event
  2. Click on the Join button
  3. When prompted, choose to open in app
  4. You will be automatically muted upon entry into the meeting
  5. Click on the Participants button to reveal the small Raise Hand button if you'd like to speak (see images below)
  6. When it is your turn to speak, you will be announced by the meeting coordinator

Connect by Telephone

If you are unable to connect by computer, smartphone or tablet, you can also call in by telephone to hear and participate in the meeting.

  1. Dial the toll free number: 1-844-426-4405
  2. Choose your preferred language
  3. When prompted for access code/meeting number, enter the Meeting # listed in the Upcoming Meeting Information section above
  4. You will not be able to heard by the meeting participants until you raise your hand (below) and the Chair acknowledges you
  5. Please note you will not hear anything until the meeting starts - there is no hold music
  6. Press *3 to raise your hand if you would like to speak when asked by the Mayor
  7. When it is your turn to speak, you will hear the meeting coordinator state that the next caller is a telephone caller, followed by the system saying "You are unmuted"
  8. When you have finished speaking, press *3 again to lower your hand so you are not called on again
